I'm happy with this version and our group is ready to launch the call this week.
Should we later also provide the chosen participants with a logistics toolkit?

How the selection process will work?
All documents will be on our shared drive. Each group will have n individual form. All the applications will be stored on the shared drive and each group will be in charge of making the decision for the participants from their country.
The infopack will be a pdf file with the links to 6 forms.
To publicise DEEP-T the groups can share either the infopack or the local form.

Some comments on this:
  1. we incorporated in Gabriele's version some information from the older version.
  2. we decided not to put additional reading material (eg. on social ecology) at this stage, they will be provided during the online preparatory meetings with the participants. 
  3. we will put link to safer space policy and the draft of the program, both on the drive at the old links. They have been both revised, please double check if you are happy with them. (NB: they are draft versions, we can always modify them before May).
  4. we decided to keep the information regarding money (reimbursement and solidarity fees) at minimum. These information will be shared after the selection process by each local group.
  5. regarding covid we do not have any question on the form. However, in the infopack we stated very clearly that "Each participant should check the travel requirements and the COVID regulation in the hosting country (Italy)." Each participant has too coordinate with the local groups regarding the borders regulation. NB: Damatrà is a working place and by law in Italy in order to enter you have to be vaccinated or had the covid in the last 120 days. Tests are not enough. People from Damatrà are in charge of the cheking this by law.
I think that I said everything. If something is not clear please let me know as soon as possible.
I would like that we close these two documents for Sunday night and go live on Monday.

Hey dear people,

This is a bit of a long mail, I kindly ask you to read it with attention as I find it really important for all of us to go through it and reflect a bit on where we are in relation to this project.

I would like to inform you all that on Thursday we (me, Federico and Milja) had a meeting regarding the open call procedures and info pack. 

We have made slight modifications in the info pack and we have changed some steps in the open call procedure. Our intention is not to impose our views and preferences regarding the open call procedure and info pack, but rather, to make things more clear for the participants who will apply for the Deep-T youth exchange. We are here in this project for the participants and our task is not only to educate them on some ecological topics, but also to make the whole organisational structure professional as possible, in every sense. I would like to hear from our participants at the end of the youth exchange, that the whole process, from the open call to the end of the youth exchange, was smooth and well organized. 

Federico, you have made the minutes so I will leave to you to explain the changes, in order that I don´t transfer the wrong information.

More importantly, I would like to call you all that we all stand together as a team in this project
So far, the communication and collaboration process during the development process of this project was not the best example of teamwork and professionalism.  
I´m sorry for saying this, nothing personal, but that's the way things are. 

I just want to underline that, the way how we communicate and collaborate with each other as a team will reflect on the participants during the exchange in Udine. I really want to come to Udine and be sure that everything is in order between all of us and that the whole project is flowing in a nice way. I think that we can create this kind of atmosphere before coming to Udine. For our own pleasure and for the pleasure of our participants.

I would also like to pay my respect to Federico and the whole Italian team for their work and efforts they have put in this project so far. They are the most responsible in the whole project and let's just be aware that this role can be very stressful and demanding. I would also like to thank to all of you individually too, for investing yourself in this project and giving your time, skills and knowledge to make it happen.

Finally, it is really the time to open the call for the participants. We have already broken the agreement that we will launch the call for participants in December. In that sense, I invite all of you to make the final adjustments of the info text and application form and 
let´s launch the open call as soon as possible.
